Manager of Import & Export Team

Operational Responsibility Responsibility for the holistic management of import and export processes for national and international shipments. Ensuring the timely and GMP/GDP-compliant organization of temperature-controlled transports via air and land freight. Ensuring the creation and verification of shipping documentation, taking into account global Trade Compliance requirements. Monitoring customs clearance processes, instructions to customs brokers, as well as the administration of Powers of Attorney. Monitoring shipment flows, bottlenecks, and operational key performance indicators to ensure reliable processing. Leadership and Team Management Leadership, coaching, and further development of the Import & Export team, including performance management, succession planning, and employee development. Setting clear goals, priorities, and a balanced distribution of tasks for the optimal use of available resources. Ensuring demand-oriented staffing, timely onboarding, and continuous competency development; training activities may be delegated if required. Promoting a collaborative, performance-oriented, and compliance-conscious team culture. Process Harmonization and Continuous Improvement Promoting the harmonization of import and export processes within the team as well as with relevant stakeholders. Identifying opportunities for innovation, simplification of workflows, and removal of obstacles for the team. Supporting change initiatives as well as continuous improvement of process efficiency, lead times, and service quality. Communication and Escalation Management Ensuring timely communication and escalation of problems, delays, and critical situations to management and relevant stakeholders. Leading team meetings to discuss escalations, workload, priorities, and relevant general information. Ensuring an effective flow of information between management and the operational team. Compliance, Reporting and Performance Monitoring Ensuring compliance with GMP, GDP, Global Trade Compliance, and other regulatory requirements. Supporting internal and external audits as well as the resulting CAPA measures. Creating relevant statistics and reports to document the performance and efficiency of the department. Monitoring key performance indicators, including timely deliveries, compliance metrics, and forecast-related metrics. Signing documents and performing authorized corrections on behalf of direct employees in accordance with the granted authorities.
