People & Office Manager

Your Role

We are looking for a People & Office Manager who holds our team together from the inside. Through competent HR work, warm hospitality, and operational excellence.

In this position, you are the link between people, processes, and culture. You are responsible for everything regarding our employees, from recruitment and onboarding to further development. At the same time, you are the face of Flux: You welcome visitors at the reception, organize appointments, and ensure that everyone feels welcome with us.

You work closely with the management and have the opportunity to actively help shape HR processes. At Flux, you don't just work according to a playbook – you help write the playbook. Your ideas for a better working environment count.

What you can achieve with us

In the area of HR & People:

• Recruiting, job posting, and support in the selection of new employees
• Onboarding and integration of new colleagues, from welcome preparation to successful induction
• Administration of employment contracts, insurance, and labor laws
• Coordination with fiduciary offices and external HR partners
• Management of personnel administration (data, updates, departures)
• Preparation of payroll runs and salary accounting
• Support for employees with questions and concerns

In the area of Office & Culture:

• Reception and visitor management – you are the first point of contact
• Handling telephone and info address
• Organization of meetings, travel, and events for the management
• Planning and implementation of team events (aperitifs, Christmas dinners, team lunches)
• Cultural activities: celebrating birthdays, welcome gifts, nurturing team spirit
• Collaboration with management in shaping the corporate culture

In the area of Operations:

• Administration and coordination of office spaces and infrastructure
• Support function for various departments regarding organizational questions

How you will be successful in this role

Professional qualifications:

• Completed HR training (Specialist in Human Resources or similar) or several years of practical HR experience
• Sound knowledge of personnel administration, labor laws, and AHV/insurances
• Experience in recruiting and onboarding
• Very good German and English skills, any further foreign language is an advantage
• Confident handling of standard office software and ideally with HR tools
