You will join the Organization and Quality team of the HUG Training and Development Center as a Project and Training Program Coordinator. You will be responsible for the operational management of a portfolio of training programs and projects, whether they are academic or degree-granting training or internal training programs.
In this context, as the primary point of contact for the departments and directorates of the HUG as well as partner training institutions, you will support the various actors within the Training and Development Center, particularly the Training Officers, in the organization and deployment of training systems, while aiming to maximize the efficiency of the resources used and the satisfaction of all stakeholders.
Your process-oriented approach and your constant search for continuous improvement allow you to make proposals to harmonize and optimize the deployment of training projects and programs, while guaranteeing their quality and consistency with respect to training objectives, specific needs, constraints, and deadlines.
You develop relationships of trust and demonstrate diplomacy in the regular exchanges you have both internally and externally. As a true key interlocutor, you carry out the communication and promotion actions useful to the programs and projects for which you are responsible.
In parallel, and drawing on the contributions of the Training and Development Center secretariat team, you manage the associated budgets and supervise administrative processes (pricing, organization and monitoring of decisions, contracting, ...), as well as the logistics of delegated activities (room management, provision of proper equipment, coordination of speakers, etc.). Furthermore, you ensure at all times the quality of data and its consolidation, in accordance with the regulatory framework and particularly data protection.
You demonstrate flexibility and openness to support the mission of the Organization and Quality Sector during a full organizational transition. More concretely, you provide support to colleagues coordinating other training systems organized by the CFD.
You hold a university Bachelor's degree, HES, or an equivalent qualification. A certification in project management is an additional asset.
You have 5 years of proven experience in managing high-volume activities requiring rigor and a good sense of organization, and in which you have developed knowledge in process management or project management, ideally in one of the following sectors: logistics, hospitality, after-sales service, or complex event organization. Knowledge of training systems and/or HR operations are assets.
You have good knowledge of the MS Office suite and particularly Excel, from the perspective of activity back-scheduling and monitoring different stages. You have knowledge of one or more systems such as LMS, HRIS, or ERP, allowing you to understand their functioning. You are comfortable with standard project management tools.
You know how to autonomously manage a large volume of activity requiring multiple interactions while obtaining visible results. You take the necessary initiatives and propose solutions adapted to needs while respecting the current framework and the confidentiality inherent to the HR function.
You have an excellent sense of customer service and your assertiveness, interpersonal skills, and professional ethics allow you to maintain a line in a complex environment. Your sense of organization and your rigorous management of processes and regulations help you in your daily mission.
